Most brokerage technology conversations start with a CRM. This one starts somewhere cheaper and more consequential.

First, find out who owns your domain

Not who built the website. Who the domain name is registered to, and who can log in to the registrar today.

In small brokerages the answer is often an agent who left, a designer who moved on, or an email address nobody can access any more. That is not a minor administrative untidiness. Whoever controls the domain controls where your email goes and whether your website resolves at all.

Check it this afternoon. If it is wrong, fix it, whether or not we are the ones who help.

Then issue the mailboxes yourself

An agent on a personal address is building a business inside an account you cannot administer.

When they leave — and in this industry people move — every enquiry, every past client and every referral thread goes with them. There is no recovery process because the brokerage never had it.

The FBI’s guidance on business email compromise is worth reading once with your agents. The technical half of the defence is free: SPF, DKIM and DMARC records on your domain, which stop someone sending mail that appears to come from your office. Most small brokerages have never had them configured.

The other half is a rule, communicated to every client at the start: wiring instructions are never sent or changed by email, and any change is confirmed by phone to a number already on file. Put it in your engagement paperwork and your email signature.

What we are not selling you

We are not replacing your MLS access, your transaction management system or your CRM. Dotloop, SkySlope, whatever your board mandates — those stay exactly where they are.

We are also not going to tell you that technology fixes agent retention. It does not. What brokerage-owned email does is make sure that when retention fails, the business keeps the relationships it paid to develop.

Why this is worth doing now rather than later

Every item on this page gets harder the longer it waits, and two of them get much harder.

Domain recovery is the clearest example. While the registrant is still on good terms with you, a transfer is a form and an approval email. Once they have left for a competitor, or the business relationship has soured, you are relying on registrar dispute processes that take weeks and sometimes do not go your way.

Agent email is the same shape. Moving a new agent onto a brokerage mailbox on day one is trivial. Moving an agent who has spent four years building a client base inside a personal account is a negotiation, and one you may lose.

Neither of these is urgent in the way a burst pipe is urgent. Both become expensive in exactly the moment you least want another problem, which is why the brokerages that handle this well do it during a quiet month rather than during a departure.

Questions worth asking before you sign with anyone

Whoever you use for brokerage IT, these five answers tell you most of what you need to know.

Is the domain going to be registered to the company? Not to the vendor, not to an individual. If a provider registers it in their own name, you are renting your own identity.

Can we administer agent mailboxes ourselves? If every add and remove requires a support ticket, offboarding will not happen on the day it needs to.

What happens to a mailbox when we close it? You want a forward and an export, not deletion, because the transaction file may need it later.

Are SPF, DKIM and DMARC configured? Ask to see them. Most brokerages have never had them set and the provider never mentioned it.

Who answers on a Saturday? This industry does not work weekdays only, and a ticket queue is not much use when a listing presentation is in two hours.

A word about agent expectations

Some agents will push back on brokerage-owned email, and it is worth taking that seriously rather than mandating it badly.

The reasonable version of their concern is portability: agents move, and nobody wants to feel locked in. The answer is to be straightforward about it. The brokerage owns the mailbox and the relationships developed under the brokerage brand; the agent keeps their personal contacts, their phone and their reputation, which are the things that actually travel.

Brokerages that explain this at recruitment have no argument later. Brokerages that spring it during an exit interview have a fight, and usually lose the data anyway.

What a ten-agent office spends

Brokerage-issued email for ten agents plus a document space for transaction files is a small monthly number you can add up from the pricing above.

The domain check and the DNS records cost nothing. The offboarding procedure costs an afternoon to write and saves considerably more than that the first time you use it.
