What Healthcare Practices Get

Infrastructure You Can Put In A BAA

Hosting, email and storage on hardware we own and operate in the United States, with encryption in transit and at rest, access logging, role-based permissions and off-site encrypted backups. We sign a Business Associate Agreement, and we can tell you exactly which physical facility your data sits in — something a reseller of someone else’s cloud cannot do.

Patient-Facing Systems That Fit The Practice

Appointment requests, intake forms, patient portals, secure messaging and billing pages, built by our development team and wired into the systems your front desk already uses. Card and ACH payments run through our payment partner with tokenized card data, so numbers never touch your site.

A Team That Answers The Phone

A named engineer who knows your setup, not a rotating queue. We handle the migration, the monitoring and the patching, and we can take over management of what you already run rather than insisting you rebuild. See custom IT solutions for the wider service list.

How We Reduce Your Digital Liability

1. Find Out Where Patient Data Actually Lives

Most breaches start somewhere nobody was watching — an old inbox, a shared drive, a vendor portal, a laptop with a local copy. We inventory every place protected health information touches your practice, including the third-party services you inherited, and show you what is exposed today.

2. Close The Gaps In Order Of Risk

Encrypted email and file transfer, Zero Trust and VPN access, a hosting firewall, enforced multi-factor authentication, and off-site backups you have actually tested restoring. We work highest-risk first rather than selling you everything at once.

3. Keep It That Way

Patching, monitoring, backup verification and access reviews on a schedule, with a written record you can hand an auditor. Security is not a project that finishes — it is the part that has to keep running after the invoice is paid.

Healthcare IT FAQs

Yes. Any vendor handling protected health information on your behalf should be willing to sign a BAA, and we are. If a provider will not sign one, that tells you something important about how they intend to handle your data.

On servers we own and operate in the United States. We are not reselling capacity on someone else’s cloud, so we can tell you which facility holds your data and who has access to it — and no foreign jurisdiction gets a claim on it.

Usually. We integrate around the systems you already run rather than replacing them, connecting patient portals, forms, scheduling and billing pages to what your staff use daily. Tell us what you have on a free call and we will say honestly whether it will connect cleanly.

Encrypted email in transit and at rest, with secure message links for anything that should not sit in an inbox. Staff mailboxes run on private email hosting that is never scanned for advertising, and we migrate your existing mail across without losing history.

You take it with you. We provide a full export in standard formats, we do not hold data hostage behind a cancellation fee, and we will help your next provider receive it cleanly.

Both. Single-provider practices and small clinics are a large share of our healthcare customers. We size the work to the practice — a two-person office does not need an enterprise security program, and we will say so.

A website and email move is usually one to three weeks including testing. Larger projects with patient portals or custom integrations run longer, and we give you a written schedule before anything starts. Nothing cuts over without a tested rollback.

No, and it is worth being blunt about that. Compliance is a floor, not a guarantee — it means specific safeguards are in place, not that no breach can happen. Good practice is to treat the compliance checklist as the starting point and then keep testing what happens when something fails.

Healthcare solutions for practices of every size

Healthcare solutions need to protect patient information while keeping the practice running. LiberationTek healthcare solutions bring hosting, encrypted email and off-site backups together, on US-owned hardware.

We sign a Business Associate Agreement, which is a key part of working with any vendor that handles patient data. This page is general information and not legal advice.

Healthcare solutions from LiberationTek: hosting and storage, encrypted email, off-site backups and a Business Associate Agreement

What to look for in healthcare solutions

When you compare healthcare solutions, ask these questions:

  • Will the vendor sign a Business Associate Agreement?
  • Do the healthcare solutions include encrypted email and off-site backups?
  • Where is the hardware, and who owns it?
  • Can the provider design a custom network for your practice?

Healthcare solutions are only as strong as the habits around them, so train your staff and review access regularly.

Planning your healthcare solutions

Start by finding out where patient data lives today. Many practices discover data in old inboxes, shared drives and forgotten servers. Once you know, you can decide which healthcare solutions to put in place first.

The National Institute of Standards and Technology publishes guidance on implementing the HIPAA Security Rule, which is a helpful reference when you plan healthcare solutions. Ask your own compliance advisor how it applies to your practice.

If your practice runs its own applications, our VPS web hosting may suit them, and our comparison pages show how LiberationTek stacks up against other providers.

Healthcare solutions should also be easy for patients to use. Appointment requests and intake forms need to work smoothly while protecting what patients share.

Ready to talk about healthcare solutions for your practice? Use the contact options on this page, and a LiberationTek expert will help you choose a sensible starting point. Remember that no vendor can guarantee compliance on its own, so your policies and training matter as much as the technology behind your healthcare solutions.

What small practices actually ask us about

Practices rarely call about mail servers. They call because the practice management system is slow, because a scanner has stopped talking to a workstation, because somebody left and nobody knows what they had access to, or because a form on the website is collecting patient details and nobody is quite sure where those go.

That last one is the common and under-appreciated problem. An appointment request or a contact form that asks about symptoms is collecting protected health information, and where it goes matters at every step: the hosting, the form plugin, the email notification, and any third-party service in the chain. A form quietly emailing unencrypted details to a staff member’s personal address is a far more realistic exposure than anything in your mail server’s specification.

The second recurring problem is departures. Clinical and administrative staff turn over, and each person had a mailbox, logins to several systems, and often documents in a personal folder nobody else can see. Without administrative control you cannot reclaim any of it — and retention obligations do not care that the account belonged to somebody who left. That is an administration question rather than a security product.

The third is that the website and the clinical systems are usually looked after by entirely different people, with nobody responsible for the overlap. The practice management vendor supports their software, a web designer built the site some years ago, and nobody owns the domain, the mailboxes, the backups, or the question of who can reach what. The overlap is where the problems live.

What we do: websites and hosting with patching and backups handled, mailboxes and shared calendars on your own domain with real administrative control through Hub For Teams, domains registered in the practice’s name, and support based in the United States. We will tell you plainly what we will and will not sign. Book a call and we will start with where your website forms currently send patient information. We are not lawyers and this is not legal advice.
