Get started →How transfers workIf you are a covered entity, email about clients can be protected health information, and free consumer mailboxes do not come with a Business Associate Agreement. We provide HIPAA-ready email with a signed BAA at $7.95 per mailbox, retention configured, and a private-practice website, on servers we own in the United States.
Setting up Christian counselor HIPAA email correctly means a signed Business Associate Agreement, encryption in transit and at rest, and access logs your licensing board can review if asked — all included with the plan, not an upsell. Most practices searching for Christian counselor HIPAA email are replacing a personal Gmail or Outlook inbox that was never covered by a BAA in the first place, which puts client confidentiality and the practice’s license at real risk.
If your current provider cannot produce a signed BAA on request, that is the clearest sign you need Christian counselor HIPAA email, not just a bigger inbox.
Most counseling practices have one to five clinicians and no IT department. You should not need one to send an intake form. We set it up, migrate your existing address and explain it in plain terms. Which of your systems are covered by HIPAA depends on your practice, so check with your own compliance advisor. We will supply the documentation.
Messages to clients and referral partners go through a system with encryption in transit and at rest, and a signed BAA included.
Intake, consent and scheduling that hand off to your practice management system, so the sensitive part stays in the tool built for it.
Retention configured to your licensing board’s requirements, and access that ends the day a clinician leaves.
A departing associate should not take client email with them.
A counseling website has one job: make the first contact feel safe and easy.
Policies, training and scheduling in Hub for Teams at $7.49 per user a month, with permissions by clinician.
A referral page and a professional address that a pastor can find and trust.
Automatic website backups and security scanning.
Practices pay per clinician and want one clear monthly number.

Yes. A BAA is included with HIPAA-ready email. Ask for it at sign-up.
No email service is compliant by itself — Christian counselor HIPAA email compliance depends on how you use it. We provide the technical controls, the BAA and documentation; your policies and training make up the rest. See HHS’s HIPAA Privacy Rule guidance for what your practice is responsible for.

No. Pricing is per mailbox, so a solo practitioner pays for one.

This is the distinction that decides everything else. Pastoral care offered by clergy as part of ministry generally sits outside HIPAA. A licensed counsellor billing insurance electronically is usually a covered entity. Many Christian counselling practices do both, sometimes through the same person in the same building, and the records are not equally protected. Work out which side each service falls on — with counsel, not with a vendor — because it changes what your systems have to do.
Where both happen under one roof, the safest arrangement is to keep the records genuinely separate rather than relying on everyone remembering which hat they were wearing. Separate files, separate storage, and ideally separate mailboxes, so a subpoena or a records request does not sweep up material from the other side of the line.
Clergy-penitent privilege, where it applies, is a matter of state law and is not the same as HIPAA — and mandatory reporting obligations can cut across both. None of that is something a hosting provider can advise on, and you should be wary of any vendor who implies otherwise.
What a provider should do is straightforward and worth insisting on: mailboxes on your own domain, a signed Business Associate Agreement for the clinical side, multi-factor authentication on every account, servers you can locate, and a backup someone has restored from.
