The True Cost of a Cheap VPS: cPanel, Backups and Admin Time Added Up

A $48-a-month virtual server looks like a bargain on a pricing page. But the number in the headline is rarely the number on your credit card statement. Once you add backups, a cPanel license and the hours someone spends keeping the server patched, your VPS total cost of ownership can easily reach double the advertised price, and far more once labor is counted. This guide adds up a realistic bill, line by line, so you can compare a “cheap VPS” with an all-inclusive managed plan on equal terms.

Every competitor price below comes from the provider’s official pricing page as of September 2026. We show each assumption so you can swap in your own numbers.

What VPS Total Cost of Ownership Really Includes

Total cost of ownership (TCO) is everything you spend to get a server that is running, secure and recoverable. For a typical small-business or agency website server, that breaks down into five buckets:

  • Compute: the virtual server itself (CPU, RAM, disk and a transfer allowance).
  • Backups: snapshots or backup add-ons, usually billed as a percentage of the server price or per gigabyte stored.
  • Control panel: a cPanel & WHM license if you want the familiar hosting dashboard, email accounts and one-click tools.
  • Bandwidth overage: per-gigabyte charges once you exceed the included transfer.
  • Admin time: patching the operating system, updating cPanel, watching alerts, testing restores and fixing whatever breaks.

Unmanaged providers price the first bucket very aggressively. The other four are where the cheap VPS hidden costs live.

Adding Up the Line Items

1. The server itself

To keep the comparison fair, we matched servers with 8 GB of memory, a common size for a business running a handful of WordPress or WooCommerce sites under cPanel.

  • DigitalOcean Basic Droplet: 4 vCPU, 8 GiB RAM, 160 GiB SSD and 5,000 GiB of transfer for $48.00 per month, per the DigitalOcean Droplet pricing page (September 2026).
  • AWS Lightsail Linux bundle: 2 vCPU, 8 GB RAM, 160 GB SSD and 5 TB of transfer for $44.00 per month, per the Amazon Lightsail pricing page (September 2026).
  • Liberation Foundation VPS: 4 vCPU, 8 GB RAM, 200 GB NVMe SSD and 6 TB of bandwidth for $79 per month, or $59 per month billed annually.

On compute alone, the unmanaged servers win. But the Droplet and the Lightsail instance are blank servers: no control panel, no backups turned on and no one watching them but you.

2. Backups, where cheap VPS hidden costs begin

  • DigitalOcean offers percentage-based backups at 20% of the Droplet price for weekly backups or 30% for daily backups. Daily backups on a $48 Droplet add $14.40 per month ($48 x 0.30).
  • Lightsail bills snapshots at $0.05 per GB-month. Snapshot storage depends on how much data you have and how much changes each day. If we assume about 120 GB of stored snapshot data, that is about $6.00 per month (120 x $0.05). Your number could be higher or lower.
  • Liberation includes daily automated backups with 7-day retention on every plan, at no extra charge.

3. The cPanel & WHM license

Most small businesses, churches and agencies want cPanel so they can create email accounts, manage files and install applications without living on the command line. Neither DigitalOcean nor Lightsail includes the license, so you buy it from cPanel or a reseller. According to the official cPanel pricing page (September 2026):

  • cPanel Admin (up to 5 accounts): $35.99 per month, or $32.96 per month on annual billing.
  • cPanel Pro (up to 30 accounts): $53.99 per month, or $49.46 per month on annual billing.

Because our 8 GB comparison hosts up to five cPanel accounts, we use the Admin tier at the monthly rate of $35.99. Every Liberation plan includes the cPanel & WHM license, with 5 accounts on Foundation, 30 on Growth, 100 on Commerce and unlimited on Scale, and we keep cPanel on its stable release for you.

4. Your admin time

This is the cost most people leave out, and it is usually the largest. On an unmanaged server, your team (or a contractor) owns:

  • Operating system and kernel updates, including the occasional reboot window.
  • cPanel updates and the fallout when an update changes something.
  • Firewall rules, brute-force protection and security hardening.
  • Uptime and resource monitoring, plus responding to alerts at any hour.
  • Checking backups and performing restores.

For our example we assume 3 hours per month at $50 per hour, or $150 per month. A single bad night can blow past that. If you believe your server needs only one hour a month, use $50 instead; the managed option still comes out ahead on hard costs alone.

The Bill, Added Up

Here is the monthly and annual cost of an 8 GB, five-account cPanel server, using the assumptions above.

VPS total cost of ownership per month
VPS total cost of ownership for an 8 GB server, including backups, cPanel and admin time.
Line item DigitalOcean Droplet AWS Lightsail Liberation Foundation
Server (8 GB RAM) $48.00 $44.00 $79.00 monthly / $59.00 annual
Daily backups $14.40 ~$6.00 (assumed 120 GB) Included (7-day retention)
cPanel & WHM, 5 accounts $35.99 $35.99 Included
Hard costs per month $98.39 $85.99 $79.00 / $59.00
Admin time (3 hrs x $50) $150.00 $150.00 Server upkeep handled for you
Monthly TCO $248.39 $235.99 $79.00 / $59.00
Annual TCO $2,980.68 $2,831.88 $948 / $708

Even if you set admin time to zero, the Droplet setup costs $98.39 per month, or $1,180.68 per year, compared with $708 per year for Liberation Foundation on annual billing. That is a difference of $472.68 before anyone patches a single package. You still manage your own website content, of course, but the server underneath is our job.

Scaling up to 30 cPanel accounts

The gap widens as you grow. A 16 GiB, 8 vCPU Basic Droplet with 320 GiB of SSD is $96.00 per month. Add daily backups ($28.80) and a cPanel Pro license ($53.99) and hard costs reach $178.79 per month before labor. Liberation Growth offers 8 vCPU, 16 GB RAM, 350 GB NVMe and 10 TB of bandwidth with 30 cPanel accounts included for $129 per month, or $99 billed annually.

Don’t forget bandwidth

Both unmanaged providers include generous transfer, but overages are metered: DigitalOcean charges $0.01 per GiB beyond your pooled allowance, and Lightsail charges $0.09 per GB in U.S. regions. Liberation VPS plans carry no egress or bandwidth overage fees.

When a Cheap VPS Still Makes Sense

Unmanaged servers are excellent tools in the right hands: developers who enjoy system administration, test and staging environments, and custom workloads that do not need cPanel. If you have in-house expertise and time to spare, the low sticker price can be real savings.

If you run a business, a congregation or an online store, though, your time is better spent on customers than on kernel updates. That is the case for managed VPS pricing: one number that already includes the license, the backups and the people.

Moving is not an extra project either. Liberation includes free website migration for 1 to 30 sites depending on your plan, and if you want longer backup history than the included 7 days, you can add CodeGuard website backup.

Other Line Items That Raise VPS Total Cost of Ownership

cPanel, backups and admin time are the big three, but a few smaller line items also push up the real price of a cheap VPS:

VPS total cost of ownership: Hidden line items in a cheap VPS
Line items that quietly raise VPS total cost of ownership.
  • Firewall and security monitoring: sometimes bundled, often sold separately.
  • Malware scanning: frequently a paid add-on, even though it decides whether a compromised site is caught early.
  • Support: unmanaged plans are cheaper because patching and troubleshooting are on you, or billed hourly when you need help.
  • SSL certificates: free options like AutoSSL and Let’s Encrypt are standard now, but confirm they are not quietly billed.
  • Renewal pricing: a first-term discount can hide a much higher renewal rate.

Questions to ask any VPS provider before you buy

  1. Is a control panel (cPanel or similar) included, or billed separately?
  2. Are backups automatic and included, and how far back do they go?
  3. Is the plan managed or unmanaged? If something breaks at 2 a.m., who fixes it?
  4. Are a firewall and malware scanning included, or sold as upsells?
  5. What is the renewal price after any first-term discount ends?

Frequently Asked Questions

What does VPS total cost of ownership include?

VPS total cost of ownership is everything you pay to keep a server running safely, not just the monthly server price. It includes the server itself, backups, a control panel license such as cPanel & WHM, any bandwidth overage, and the staff or contractor time spent on patching, monitoring and troubleshooting.

Is managed VPS pricing worth it for a small business?

For most small businesses, yes. Once you add daily backups and a cPanel license to an unmanaged server, the hard costs alone can exceed an all-inclusive managed plan, and that is before counting a single hour of admin time. Managed VPS pricing folds those costs into one predictable bill.

Does Liberation charge extra for cPanel, backups or bandwidth overages?

No. Every Liberation VPS plan includes the cPanel & WHM license, daily automated backups with 7-day retention, and no egress or bandwidth overage fees. OS and kernel patching, 24/7 hardware and uptime monitoring, and standard DDoS protection are also included.

Will you move my existing websites?

Yes. Free website migration is included, covering 1 to 30 sites depending on the plan you choose, so switching does not add a one-time project cost to your budget.

The Bottom Line

A cheap VPS is only cheap until you add what a business server actually needs. When you total the server, backups, cPanel license and admin hours, the VPS total cost of ownership for an unmanaged setup often runs well past an all-inclusive plan. Liberation’s fully managed VPS hosting bundles cPanel & WHM, daily backups, OS patching, 24/7 monitoring, DDoS protection and 24/7 U.S.-based human support on servers we own and operate in the United States, backed by a 99.9% uptime SLA and a 30-day money-back guarantee.
