An SMTP relay is the server that takes your outgoing email and delivers it to the recipient’s mailbox provider. If you send from your own domain, the relay you use decides your sending reputation, whether your authentication is set up properly, and what happens to bounces and spam complaints. Mail sent straight from a website, an office printer or an application often lands in spam, or gets rejected outright, because it has no authentication and no reputation behind it. A properly configured SMTP relay fixes the parts you can control:
No provider can promise inbox placement, and you should be wary of any that does. What we can do is put the right infrastructure and hygiene in place, which is what moves email deliverability in practice. Email deliverability is the real reason to use a relay at all. The technical protocol behind all of this is defined in RFC 5321, if you want to see the specification.
You likely need an SMTP relay if your website, store or application sends email and some of it goes missing, if your hosting provider caps how many messages you may send, or if you send enough bulk email that you want your own reputation and reporting. If you only send a few personal messages a day from a normal mailbox, you probably do not, and we will say so.
SMTP, the Simple Mail Transfer Protocol, is how mail servers hand messages to each other. When you send through a relay, your application or mail program gives the message to the relay, and the relay does the work of finding the recipient's server and delivering it. Along the way it signs the message, retries if the recipient's server is busy, and records the result.
That last part matters. A relay that records bounces and complaints lets you act on them. Without it, a bad address stays on your list and keeps failing, and each failure counts against your reputation.
